Performing a major upgrade to a business’ Enterprise Resource Planning (ERP) system is a huge undertaking and should be carefully considered beforehand. Here are some of the key things to think about before committing to an ERP upgrade

• Your ERP system may be offline for a couple of days. A major upgrade often requires modifications to your ERP system along with a testing period afterwards, which may take your ERP system offline for a period of time. Before the upgrade commences you will need to inform all users of the system downtime and ensure that the business is still able to function whilst it is offline.

• Effectively organise your data. Before the upgrade, ensure that you have organised and created a back-up of all important and business-critical data. Having correctly labelled data and files will make it much easier when it is time to reload the data into the system. Also, if you encounter any problems during the upgrade you will have a reliable back-up to hand to recover essential data.

• Secure your system. Upgrading or expanding your system and adding multiple users brings additional security risks. Ensure that access to protected data is only given to those who need it and that the system cannot be infiltrated by those without permission. Many older ERP systems may not have the necessary security procedures in place, especially those designed to protect credit card or payment information so upgrading the system could even offer better security and protection.

• Utilise a consultant project manager. Some businesses opt to use an internal member of staff to manage the upgrade believing it will be more cost effective. However, using a dedicated consultant project manager is more beneficial to the project. Dedicated ERP project managers have worked with many businesses installing and upgrading ERP systems, therefore they are well aware of the challenges and pitfalls that may occur during an upgrade. A project manager can; advise you of the precautions you will need to take beforehand, work solely on the upgrade project until it is completed and will be on hand if things don’t go according to plan.
